These Regulations set forth the official rules governing participation in the annual Youth Ball organized by the Polish Youth Association, including terms of admission, conduct, safety, and ticketing. They define the rights and responsibilities of both the Organizer and all Participants.
By purchasing a ticket, registering, or participating in the Youth Ball in any capacity, you agree to abide by the Youth Ball Rules & Regulations and all related policies established by the Organizer. Violation of these terms may result in denial of entry or removal from the event without refund.
Section 1. General Provisions
Summary: Defines who the Organizer and Participants are, explains the scope of the regulations, and establishes that ticket purchase constitutes acceptance of these terms.

These Youth Ball Regulations (hereinafter referred to as "Regulations") apply to the Youth Ball held at The Legacy Castle in Pompton Plains, New Jersey (hereinafter referred to as "Event"), organized by the Polskie Stowarzyszenie Młodzieży, Inc. (hereinafter referred to as: "Organizer").

The Regulations apply to the Youth Ball and constitute a contract drawn up between the Organizer and the Event participant (hereinafter referred to as: "Participant"). The Organizer informs that other regulations may apply to the Event, such as those established by third parties acting for or in cooperation with the Organizer, including but not limited to the regulations of the venue where the Event takes place and the regulations of the platform for the sale of tickets for the Event.

The Regulations define in particular the rights and obligations of the Organizer in connection with the conduction of the Event, as well as the rights and obligations of the Participants in connection with participation in the Event. Purchase of a ticket or participation in the Event, respectively, is tantamount to acceptance of the provisions of these Regulations.

The provisions of these Regulations are addressed primarily to the Participants, but they also apply accordingly to other non-Participants at the venue of the Event during its duration, including but not limited to catering staff, media representatives, medical service, with the proviso that it does not apply to people appointed by the Organizer to ensure order and safety during the Event.
Section 2. Terms of Participation
Summary: Explains ticket validity, age requirements, participant obligations, and refund policies.

The Participant's right to enter the premises of the Event results from the original, digital admission ticket to the Event (hereinafter: "Ticket"), obtained from the distributor authorized by the Organizer to sell tickets to the Event, e.g. via the Organizer's official website. All ticket purchasers represent and warrant that the information they include in the ticket purchase order form is true and correct, including but not limited to name, address, and date of birth.

Each Participant of the Event is required to read the Regulations in advance and is obliged to comply with them. Each Participant also agrees to comply with other regulations applicable to the Event, in particular, the regulations of the venue where the Event takes place.

Tickets entitle only one person to enter and stay on the premises of the Event. Tickets are non-transferable and it is forbidden to give the Ticket to other persons.

Tickets for the Event are sold via the Organizer's website available at www.youthball.org or www.polishyouth.org.

Tickets are sold at the price specified on the poster of the event or the Ticket as advertised at time of sale and regulated by the policies listed in Section 3 of the Youth Ball Regulations.

The purchased Ticket for the Event may not be used in any advertising or promotional campaigns (including as a prize in contests or lotteries), and may not be used for any other commercial or commercial purposes of third parties, without the prior written consent of the Organizer.

Participants of the Event aged between 16 and 18 years old take part in the Event on the basis of their own ticket. Under penalty of perjury, it is understood to be true by the Organizer that purchase of Ticket and participation in the Event by a person aged 16 to 18 is conducted with a parent's or legal guardian's knowledge and consent and each participant of the Event certifies this to be the case through their participation in the Event. Should the actions of a Participant result in damage to a person or property, the parents or legal guardians of that child may be held liable. Participants must be 16 years of age or older to participate in the Event.

All Participants of the Event are obliged to have and present their tickets at each request of the Organizer. In the event of loss or damage to tickets or in the event of the necessity to leave the Event area, the Participant is obliged to report to the Organizer immediately.

If the Organizer finds that a given Participant of the Event lacks a ticket or is unable to present them at the request of the Organizer, the Participant then loses the right to participate in the Event.

In the case of a change of the date or venue of the Event, tickets remain valid and shall be binding on the new date or at the new venue of the Event.

Tickets are not refundable or exchangeable after their purchase unless these Regulations provide otherwise, or unless written consent of the Organizer or its authorized representative for a refund or exchange is given. A Participant no longer being available to attend the Event, due to any reason including but not limited to personal circumstances, sickness, work obligations, injury, or inclement weather does not constitute grounds for a refund of the Participant’s ticket.
Section 3. Special Provisions Relating to the Sale of Tickets
Summary: Outlines how tickets are personalized, membership rules, ticket verification, and resale restrictions.

All tickets as part of the Event are digital and personalized tickets, which means that only the person who has acquired the right to enter the Event in accordance with the provisions of this §3 below is entitled to enter the premises of the Event. The rules pertaining to the sale of tickets are as follows:

Membership tickets are valid for the admittance of persons between the ages of 16 and 29 years old, and are only valid for persons who signed up for membership prior to the time of ticket purchase. Each ticket holder must have valid membership, regardless of the membership status of the purchaser at or before time of purchase for this ticket type to be considered valid.

Non-membership tickets are valid for the admittance of persons who did not sign up for membership prior to time of ticket purchase or signed up after time of ticket purchase.

Adult tickets are valid for the admittance of persons 30 years of age or older. A person who is a member and 30 years of age or older, can only be admitted to the event based on the adult ticket and does not qualify for membership pricing regardless of membership status.

Participants who purchase the incorrect ticket type or from whom payment has not been received in full will be invoiced for the difference and must remit payment to the organization no later than three days prior to participating in the Event. The Organizer reserves the right to refuse admittance to any person presenting the incorrect ticket type if remittance was not received. The Organizer reserves the right to refuse admittance to any and all future events until remittance for the outstanding difference is received. Refunds cannot be issued due to an incorrectly purchased ticket type.

A Participant’s ticket is evidence of the fact that a given person is a party to the Agreement and, as a result, is entitled to enter the venue of the Event. Before entering the premises of the Event, the Participant is obligated to present their Ticket, assigned to them personally (verification of the name on the ticket is possible within the Organizer's website system) or by scanning the code on such a ticket in a special reader. Participants are also required to present a document confirming their identity at entry, as well as, confirmation of the ticket purchase or other documents if the obligation to present them results from the Regulations, request by an authorized representative of the Organizer, or other rules and conditions applicable to the Event.

A document confirming identity is to be understood as an identity card, temporary identity card, passport, driving license, school or student ID, a document confirming the identity of a foreigner, or another document confirming the identity with a facial image and indicating the name and other data identifying the given person. The Organizer may at their discretion photograph, copy or scan the provided identification document for recordkeeping and verification.

The Organizer is entitled to refuse admission to the Event to Participants who are unable to prove that they have acquired the right to enter the premises of the Event.

Tickets may be used by the Participants only for private use; it is forbidden to resell tickets for commercial purposes.
Section 4. Safety Rules
Summary: Lists prohibited items, behavioral expectations, COVID-19 measures, and authority of event security.

Participants are forbidden from bringing to the Event or being in possession of: weapons, explosives, pyrotechnic products, fire-hazardous materials, alcoholic beverages, narcotic substances or psychotropic substances, with the exception of alcoholic beverages purchased on the premises of the Event.

During the Event it is also forbidden to bring to or be in possession of:

musical instruments or any other items or devices that may be used to interrupt the course of the Event or otherwise prevent or hinder the efficient conduction of the Event;

any sharp, heavy or hard, glass, metal or other objects that, in the opinion of the Organizer or its representatives, may pose a threat to other Participants or the Participant themself;

flags, banners, boards or other items that may prevent or impede the full participation of other Participants in the Event or pose a threat to their health;
-
food or drinks purchased outside the Event area;
-
cigarettes, e-cigarettes, vapes, etc.

In the case of disclosure of bringing or introducing a hazardous item or animal into the Event area, or in violation of the prohibitions referred to in point 1 and point 2 above, the Organizer has the right to remove such Participant from the Event area without the possibility of obtaining a refund.

Each Participant of the Event is obligated to behave in a way that does not threaten the safety of other Participants and other people on the premises of the Event, and in particular, comply with the provisions of these Regulations and the law, as well as immediately follow the instructions of security and representatives of the Organizer. In particular, non-compliance with safety rules and instructions, aggressive behavior, disturbance of peace, violation of good manners, as well as the law on the protection of minors are prohibited and may result in removal from the Event without the possibility of a refund.

In connection with the COVID-19 pandemic, the Organizer reminds and stipulates that during the Event, including before entering the premises of the Event, certain restrictions or requirements related to preventing and combating COVID-19 may apply at a given time if they are prescribed by law or pandemic safety rules and may be introduced by the Organizer and published, e.g. on the website. As part of the Event or in connection with its organization, there may be restrictions and requirements in this regard. This may also be specified by third parties (e.g. the entity renting the facility or area on which the Event takes place). The Participant will be informed about these changes in advance (by way of the Organizer's website, when purchasing a ticket, before entering the premises of the Event or during the Event, also through appropriate announcements, including in writing or in the form of electronic messages). Detailed provisions on the rules and requirements that may be in force at the time of the Event are also set out in further chapters of the Regulations.

To ensure the safety of the Event, the Organizer will appoint security or its representatives to the ongoing coordination and supervision of the Event throughout its duration. Participants are obligated to follow the instructions and directions of appointed security representatives before, during, and after the Event, including requests to leave the premises of the Event without the possibility of a refund.

The Organizer may refuse both admission to the venue of the Event to persons whose behavior may pose a threat to other Participants of the Event or to persons whose external appearance or characterization makes it impossible to identify their identity, as well as persons who do not comply with the rules established by the Organizer and by authorized third parties.

The event may be canceled, or interrupted at any time if its conduction or continuation may impair the safety of participants. The Organizer reserves the right to delay, change the rules of, or cancel the event as a result of regulations implemented by authorities in connection with emergency circumstances or external factors.

It is forbidden for any Participant to block indicated evacuation routes and exits, access roads for rescue services or hydrants, as well as other evacuation materials or methods.

In the case of knowledge of danger or observation of hazard during the event, Participants should:

immediately inform the custodians of the Event or representatives of the Organizer;

strictly adhere to the instructions of the Organizer;
-
begin heading towards evacuation routes and escape exits;
-
avoid panic;
-
not obstruct the access of emergency services to the location of the danger or hazard.

Section 5. Regulations Pertaining to Pandemics
Summary: States that entry may require compliance with official health regulations and proof of compliance.

If, for valid reasons (such as, for example, the introduction of official requirements for the application of specific protection and hygiene measures), the purchase of a ticket or entry to the premises of the Event depends on the fulfillment of certain conditions (e.g. the need to wear a mask) or the provision of documents or declarations (e.g. a certificate on vaccination, certificate of convalescent status, negative test result, health declaration, declaration of staying in risk zones), the Organizer may be entitled, to the extent and in accordance with the applicable provisions on the protection of personal data, to request the presentation of such a document or declaration by the Participant before their entry onto the premises of the Event and to verify that the Participant meets such specific, official requirements.
Section 6. Liability Warning
Summary: Participants attend at their own risk; the Organizer is not responsible for accidents, illness, or theft.

The Organizer informs that even the implementation by the Organizer, when organizing the Event, of all necessary procedures to ensure the safety and hygiene of the Participants and the application by the Participant of all required safety and hygiene measures, does not completely exclude the risk of injury or risk of infection with the SARS-CoV-2 (COVID-19) virus or another pathogenic organism (pathogen). Participants participate in the Event at their own risk.

The Organizer informs that it does not provide insurance (e.g. against the consequences of accidents), which would cover diseases, accidents, losses or damage that may arise in connection with participation in the Event.

The Organizer informs that each Participant should secure their belongings on their own against loss and should not leave them unattended during the Event. The Organizer is not responsible for any loss of property, theft, or damage to property incurred by the Participant during the event.
Section 7. Other Restrictions
Summary: Forbids unauthorized commercial activity, disruptive behavior, inappropriate attire, and smoking.

It is forbidden to conduct any commercial or non-commercial activity (e.g. soliciting, collecting signatures) on the premises of the Event during its duration, without the prior written consent of the Organizer.

It is forbidden to present during the Event any slogans and chants provoking or inciting to disturb order or security, which may constitute a source of conflict, offensive or degrading other people due to their sex, race, religion, age, beliefs, political views, sexual orientation, affiliation to any of the subcultures, sports sympathies or any other reason.

Participants are required to comply with the smoking ban resulting from the regulations of the Event venue and any other applicable regulations.

On the premises of the Event, Participants must follow the information provided, as well as obey the mandatory and prohibition signs as well as orders issued by security or representatives of the Organizer appointed for the ongoing coordination and supervision of the Event. In case of danger, the Participants will be called to immediately leave the Event area, in due time. Participants are obliged to immediately and unconditionally comply with the security orders and the Organizer's representatives in their respect, as well as any other guidelines issued by authorized entities.

Participants are expected to dress suitably to the Event, and may be excused from the venue should the Organizer deem a Participant to be in violation of this provision at the discretion of the Organizer.

Participants are responsible for any material damage caused by them during the Event and are expected to comply with behavioral standards in expectation of social norms.
Section 8. Final Provisions
Summary: Addresses violations, event changes or cancellations, photo/video rights, governing law, and publication of the regulations.

In the event that the Organizer finds a breach by the Participant of the provisions of the Regulations and other rules and conditions for participation in the Event, the Organizer is entitled to exclude the Participant from the Event and order the Participant to leave the Event area. In the event of exclusion, the Participant is not entitled to receive any benefits due to participation in the Event, as well as damages or other compensations.

Alcoholic beverages may be sold, served, and consumed at the Event only in designated areas. Sale and administration may only be carried out by authorized entities. It is forbidden to sell, purchase for, or serve alcohol to minors.

The Organizer reserves the right to cancel the Event or change the rules, date (including time), place or program of the Event, without prior notice, for important reasons or any reason at all, at any time. Important reasons are in particular: unfavorable weather conditions preventing part or all of the Event, acts of God, illness, indisposition or other reasons not attributable to the Organizer preventing the performance of the performer or cases where the cancellation or change is caused by the need to ensure the safety, health or life of people or property or ensuring the uninterrupted course of the Event, including in the event of the introduction by public authorities of certain restrictions on the organization of the Events, which prevent part or the whole of the Event from taking place. In the cases referred to above, the Participants have the rights provided for by law or resulting from the relevant separate statements of the Organizer or regulations.

The Organizer may also record the course of the Event for the purposes of documentation or for advertising and promotional purposes of the Organizer or the sponsors and partners of the Event. The organizer or the sponsor or partner, respectively, may use such a recording or a fragment thereof, including the image of the Participant or another person staying on the premises of the Event, without time and territorial restrictions, without the need to pay remuneration for using the image, in all fields of use, in particular through its recording, reproduction, trading and dissemination.

State law shall apply to all matters relating to the Event and not covered by these Regulations. The titles of individual paragraphs of the Regulations are informative and do not constitute part of the Regulations.

The Regulations will be made available on the premises of the Event and on the website www.polishyouth.org, and upon request submitted to the Organizer at the address: info@polishyouth.org, they will be sent by email.

The Regulations come into force on the day of their announcement.
